Fleet and Heavy Machinery Management Software

For fleet and heavy machinery management, AI Lab rolls out parkoERP — a system where vehicles, maintenance, fuel and lubricants, trips, timesheets, payroll and cash are kept in one place: you can see what stands where, who works on what, how much fuel was burned and who is owed what. The product is ready to deploy and runs in a separate instance for your company — in Bishkek and across Kyrgyzstan.

What parkoERP tracks

  • Vehicles and maintenance. A record per unit, running hours, planned and unplanned maintenance, a history of repairs and downtime.
  • Fuel and trips. Refuellings, consumption norms, waybills and trips. You can see where consumption breaks the norm.
  • Staff and timesheets. People, shifts, and a timesheet instead of a spreadsheet everyone keeps their own way.
  • Payroll and cash. Accruals from hours worked, payouts, cash movements and settlements.
  • Roles, permissions and the phone. The mechanic, the dispatcher, the accountant and the owner each see a different view. Installs on a phone as an app.

Who it is for

Companies with heavy machinery and their own fleet: construction and road contractors, carriers, manufacturers. Especially where vehicles, fuel and driver hours are now kept in separate spreadsheets and reconciled by hand.

A task we have already handled

Heavy equipment fleet. Vehicles, fuel and driver hours were tracked in spreadsheets. We deployed parkoERP: vehicles, maintenance, trips, timesheets and payroll in one system.

parkoERP is ready to deploy: the core works and a client deployment is already running.

How the rollout works

  1. A review of how records are kept today.
  2. Migration of the vehicle and staff registers.
  3. Roles configured for your departments.
  4. Training and support after launch.

The system is deployed in a separate instance for your company. If you need something the product doesn't cover, we extend it or build a custom system.

What we need from you

  • A list of vehicles and staff in whatever form it exists today.
  • Your current spreadsheets for fuel, trips and timesheets — we migrate the data from them.
  • Time from your mechanic, dispatcher and accountant for the review and training.

What the cost depends on

We quote a price after the review. It depends on:

  • How many vehicles and staff are tracked.
  • Data migration — reference data, repair and refuelling history.
  • Departments and roles — who sees and does what in the system.
  • Customisations for the specifics of your records.
  • Integrations — with 1C, for example.
  • Support after launch.

Where we work

The AI Lab office is at 110 Toktogul Street, Bishkek. We work with companies across Kyrgyzstan; outside Bishkek we work remotely.

Frequently asked questions

How much does heavy machinery management software cost?

We quote the rollout price after reviewing how your records are kept today. It depends on the number of vehicles and staff, the volume of reference data to migrate, the number of departments and roles, and any customisations needed.

How do you keep fuel consumption under control?

parkoERP records refuellings, consumption norms, waybills and trips — you can see where consumption breaks the norm, and on which machine.

Can we keep driver timesheets and calculate payroll?

Yes. Shifts and the timesheet are kept in the system instead of a spreadsheet, and pay is accrued from hours worked; payouts and cash movements are there too.

Can we see when a machine is due for maintenance?

Yes: each unit has a record with running hours, planned and unplanned maintenance, and a history of repairs and downtime.

Does parkoERP work on a phone?

Yes. The system installs on a phone as an app, with no app store needed. The mechanic, the dispatcher, the accountant and the owner each see their own view.

Will parkoERP suit our fleet?

The review shows that: we look at how your records are kept and tell you what the product covers as is, what needs customising, and where you are better off staying with your current tools.

Tell us about the task

We'll review the processes, show what can be automated and estimate the timeline. No commitment.
